Refund Policy

1. Cancellation Requests

If you need to cancel your registration, please email support@fellowflow.online as soon as possible. Cancellations are processed by event administrators through the admin portal.

  • Cancellations must be requested before the event start date.
  • Upon cancellation, your lodging assignment and meal entitlements will be released.
  • A cancellation reason may be recorded for administrative purposes.

2. Refund Eligibility

Event organizers may, at their discretion, issue refunds outside of these guidelines for special circumstances such as medical emergencies or family emergencies.

3. Processing Fees

Important: Processing fees are non-refundable

Stripe payment processing fees (2.9% + $0.30 per transaction) are retained by the payment processor and cannot be refunded, even for full refunds. This means:

  • A “full refund” returns the registration amount but not the processing fee.
  • For example, if you paid $120.00 total ($116.22 registration + $3.78 processing fee), a full refund would return $116.22.

4. Meal Add-On Refunds

  • Meal add-on purchases may be refunded if the meal has not yet been served.
  • Refunds for individual meals are processed at the unit price paid.
  • Processing fees on meal purchases are also non-refundable.

5. How Refunds Are Processed

  • Refunds are issued to the original payment method (the card used during checkout).
  • Refunds typically take 5–10 business days to appear on your statement, depending on your bank.
  • You will receive an email notification when a refund is initiated.
  • Cash payments are refunded in cash by the event administrator.

6. Disputes

If you believe a refund was processed incorrectly, please email support@fellowflow.online before filing a dispute with your bank. Chargebacks and payment disputes incur additional fees and may affect future registration eligibility.
